Where did My LPC Hours come from?It was inspired by my own spreadsheet, which I created because I was irritated that the then-existing online services charged so much for so little, and I personally still consider them damn ugly. I began working on the app within weeks of my getting licensed as a Texas LPC Associate in May 2023, and Version 1.0 was released on the Apple App Store on Thanksgiving Day that same year.

What does My LPC Hours cost?$2.99 monthly or $29.99 annually. There is never any commitment. And on top of that, you can use it for free until you hit 100 entries or 50 hours, whichever comes first. Can I try it out first?Yes indeed: The trial period is either 2 weeks or 4 weeks, depending upon if you started a monthly trial or an annual trial. Before that, though, you can continue to use the app until you reach 50 hours of entries, or 100 hours total, whichever comes first. Many people are able to make use of the app for months before a subscription is required. I wanted everyone to have the opportunity to really get used to it without having to fork over money, especially when finances are so tight at the beginning of our internships! The only restriction before subscribing is that you can have only one supervisor, one site, and you cannot customize activities. Other than that, you can use everything else, including digital signatures!

Are the electronic signatures on the reports really legally binding?Yes, the digital signatures on the reports sent by My LPC Hours are legally binding. The app generates a PDF using the information you provide and the time you enter. It then sends the document to our service provider, who processes the signature requests and applies the proper time stamps, records all the acknowledgements, and attaches the final audit trail. The app stores the final document, along with the audit trail, in your account. This is visible in the Signature Requests window in the app. Note that there is a "Sign Report" button underneath "Email Report." This method is there just as a convenience if you prefer to print the report and hand it to your supervisor. It does not meet the same requirements for legally binding signatures as the "Send for Signature" feature in the app.

It's called My LPC Hours, but I am an LMSW or LPA or LMFT. Can I use it?Yes. The app is called My LPC Hours because LPCs are just cooler than everyone else. Seriously, it uses "LPC" in the name because of what I called my original Apple Numbers spreadsheet "My LPC Hours." At its core, the app does one thing: count hours. Therefore, it's useful for LPCs, LMSWs, LMFTs, LPAs, and so on. If you're counting hours, it was built for you.

Is this an EHR system?No! DO NOT SAVE any information that could be considered PHI anywhere in the app. Doing so would be a violation of the Terms and Conditions and would likely be reportable to your state regulatory body that governs HIPAA compliance. My LPC Hours is not HIPAA compliant. It is not meant to replace SessionsHealth, SimplePractice, Google Workspace, or whatever you use to manage clients or document sessions. The notes fields for direct hours should be used only for a brief note about the time entry.

What does the Supervision Hours Log look like?The report format currently used is based on the Texas BHEC suggested format, which I find simple and understandable. In time the app will include more forms specific to your state and license. Below is a sample showing a report signed by the user and awaiting signature from the supervisor.

How secure is the data in my account?Very. My LPC Hours uses Google Firebase storage, which is replicated across multiple datacenters in multiple U.S. regions. This infrastructure is designed for high availability and durability to what techie people refer to as "11 nines," which means we can count on 99.999999999% uptime and availability. That being said, any emails created and sent by the app, such as when you are sending your reports, are not encrypted. It is up to you to avoid inserting any information into your account that could be considered Protected Health Information (PHI). Furthermore, the app makes no calls to other apps or services on your smartphone. It does not sync contacts, it does not access your calendar. The only way it interacts with your smartphone is when you generate an email, and it then passes the email request on to whatever default mail app you are using.

I went through the setup process. What next so I can get the most out of it?Going through the setup wizard means you probably already: Entered a supervisor Created a site Set your hours requirements I suggest you then: Customize the activities by adding some of your own, or hiding ones you don't use (you have to subscribe to do this). Import prior hours using the Import feature in Settings. Set a site's default supervisor: go into Settings / Sites and assign a default supervisor to a site (this simply means that when you are entering time and indicate a site, it automatically fills in the supervisor field for you). Look at the Hours pane and see what days you forgot to enter time by looking at the dots. Answer this month's Reflection question and read others' responses. Practice creating and signing a report.

How do I import hours from my spreadsheet?You can import your previous hours but we need to go through some steps to prepare it. In the app, go into Settings and you will see the Import button. If needed, you can download the import_sample.csv file, which is also available below. To get your own spreadsheet ready: Make a backup copy of your spreadsheet. The column headers must be, in this order (delete all other columns): Date Activity Site Supervisor Hours Notes Date must be in mm-dd-yyyy format Hours must be in decimal format (2.5, not 2:30) and rounded to 15 minute increments. IMPORTANT: All activities, sites, and supervisors in your spreadsheet must match the name of a corresponding activity, site, and supervisor in the app. If any do not match, the import attempt will generate a prompt indicating so. Direct Activities require a supervisor. Export your spreadsheet as a .csv file. You can do this in Excel or Apple Numbers. Go to Settings, tap Import, and then tap Import CSV. If the file is properly formatted, the app will state how many entries will be imported. You can still cancel at this step before any data is imported.

How do I hide or delete activities that I don't use?1. In the Dashboard in the upper right tap Menu / Settings / Activities 2. Find and tap on the activity under either Direct Activities or Indirect Activities. 3. To hide it, toggle the "Active" button off. To delete it, tap the trash can in the upper right. You can hide any activity at any time. You cannot delete the standard activities that come with the app. You can delete an activity only if you created it, and it is not already used in a time entry. In these cases the trash can icon will not be visible.

I changed supervisors. How do I remove them?Make the supervisor inactive. This hides that supervisor from the pull-down menus for time entries, and from the recipients list in the Reports window. Deleting a supervisor is possible only if that supervisor is not already used in a time entry. In this case the trash can icon will not be visible. To make them inactive: 1. In the Dashboard in the upper right tap Menu / Settings / Supervisors 2. Find and tap on the supervisor's name. 3. To make it inactive, toggle the "Active" button off.

What is "Reflections"?One question each month. Each question is posed as an opportunity to reflect upon an aspect of our professional development while we navigate our way through our intern and associate phases. Supervision is an absolute must, but it also helps to consider issues and questions that challenge our thinking and get us to explore the nuances of our chosen profession. Sharing your response to a question is anonymous, showing only your initials and state. There is no "liking" or "promoting" or responding. It is just a wall against which to throw your thoughts and see how others are responding.

What do the dots mean in the Hours pane?Red: Direct hours. Blue: Indirect hours. Green: Supervision hours.

I don't understand Report window's "Organize by" options.Each row can represent an entry, a day, or a week of data. If you choose the first option and put one entry per row, you can also include the notes for your direct and indirect time entries. The day and week options allow only for notes from supervision time entries.

I already have an account, but when I logged in I see the setup wizard and my data is missingDon't panic, and don't be a BM (inside joke). You accidentally created a second account; your original account is still there. Simple do this to get back to your original account: 1. Click the "Login" link in the upper left of the Welcome screen 2. Log back in using the method you original used to create your account. This happens because you: Created an account using Apple, but then later decide to click the button to use the "private relay" option. This creates an entirely new account with an email address ending "@apple.privaterelay.com" which the app sees as a new account; or Created an account using "Sign up with email" and use a Gmail or Google Workspace email address, but later log back in thinking "t email address is hosted by Google, so I'll sign in using Google!" Even though it's the same email address, it is still recognized by the app as a new account because of the different method used to authenticate into the app.
